What are student conduct hearings?
Student conduct hearings are how Wrenford Polytechnic reviews alleged violations of the student code of conduct and imposes sanctions. These hearings cover non-academic behaviour that affects the safety, respect, and well-being of our community. They do not cover academic misconduct, which follows a separate academic integrity process.
Who is involved?
Any student enrolled at Wrenford Polytechnic can be referred to a hearing. You may be asked to attend if a member of the college community reports an incident that appears to break our rules. You have the right to be heard, to present your side of the story, and to bring a support person to the meeting.
How the process works
- Report the incident: If you witness or experience a violation, contact Campus Security in person, by phone, or through the campus safety app. Campus Security will log the report and notify the appropriate office.
- Initial review: A staff member from the Vice-President, Students office will review the details to decide if a formal investigation is needed. You will receive an email explaining the allegation and inviting you to a meeting.
- Gather information: Staff may speak with witnesses and review evidence. You will have a chance to share your perspective and provide any relevant documents or accounts.
- The hearing: You will meet with a conduct panel, usually made up of a staff member from the Vice-President, Students office and a faculty or student representative. The panel will listen to both sides and review the evidence.
- Decision and sanctions: If the panel finds that the code of conduct was violated, they will determine a fair outcome. Sanctions may include a written warning, completion of an educational workshop, community service, restitution for damages, or a temporary suspension. The decision will be sent to you in writing.
Support and accommodations
You are not expected to go through this process alone. Counselling & Wellness offers confidential support for students involved in conduct proceedings. You may also request an academic or physical accommodation if the process creates additional barriers. Contact the Accessibility Services office to discuss your needs.
Appeals
If you disagree with the hearing outcome, you may appeal the decision. Appeals are only considered if you can show procedural unfairness, bias, or present new evidence that was not available during the hearing. You must submit your appeal within thirty calendar days of the decision using the Grievance Procedure Request form. The Grievance Committee will review your case and issue a written decision within fifteen business days.
