What this covers
Formal process for students to raise concerns about university actions or decisions affecting them. This procedure applies when you believe a college policy, an instructor, or a staff member has made a decision that directly impacts your academic progress, financial standing, or campus experience. It does not cover general feedback or complaints about service quality, which belong in the Complaints and feedback process.
Who can use it
Any currently enrolled student at Wrenford Polytechnic may file a grievance. This includes full-time, part-time, and online learners across the Benchlands and Mercer Street campuses. If you are a prospective student or an applicant, you should use the admissions inquiry channels instead.
How to start a grievance
Follow these steps to submit your concern:
- Review the policy. Read the Student code of conduct and Student conduct hearings to understand how the college handles disputes and what rights you hold.
- Attempt informal resolution. Before filing a formal grievance, contact the staff member or instructor involved. Many issues are resolved quickly through a direct conversation or email exchange.
- Submit the grievance form. If the issue remains unresolved, complete the Grievance Procedure Request form. You can download it from the Policies hub or pick up a printed copy at the Registrar's office in Hollis Hall.
- Provide supporting details. Include dates, names, and any relevant emails or documents. The committee needs clear facts to review your case.
- Wait for the review. The Grievance Committee will acknowledge your submission within five business days and schedule a meeting.
Deadlines and fees
You must file your grievance within thirty calendar days of the decision or action you are contesting. There is no fee to submit a grievance. If you need an extension due to medical or personal circumstances, include a note in your submission or contact the Counselling & Wellness office for support.
What happens next
A three-person Grievance Committee will review your case. This group includes one faculty member, one staff member, and one student representative. They will contact you to arrange a hearing or review session. You may bring a support person, such as a peer or advisor, to the meeting.
The committee will issue a written decision within fifteen business days. If the grievance is upheld, the college will take steps to correct the issue. If it is dismissed, you will receive an explanation of the findings.
