Club funding requests
Wrenford Polytechnic's Student Association provides operating funds to registered student clubs. If you run a club on campus, you can apply for money to cover events, supplies, and travel. This guide explains how to request funds, what you need to submit, and when to apply.
Who can apply
Registered student clubs at both the Benchlands Campus and Mercer Street Campus can apply. The club must have a current constitution on file and an elected president or chair. Individual students cannot apply on their own.
How to request funds
- Check eligibility. Visit the Student Association page to confirm your club is registered and in good standing.
- Fill out the request form. Download the Club Funding Request Form from the Student Association portal. List every planned expense, including venue rentals, printing, and guest speaker fees.
- Attach supporting quotes. If an event costs more than $200, include a written quote or price list from the vendor.
- Submit for review. Send the completed form and attachments to the Student Association finance office. You can submit it by email or drop a printed copy in the student drop box at the Student Union Building.
Deadlines and approval times
Submit your request at least ten business days before the event or the start of the program. The finance team reviews requests on a first-come, first-served basis. You will receive a decision within five business days. Requests submitted after the deadline may not be approved in time for your activity.
Approved funding amounts
The Student Association offers two funding tiers based on your club's planned spending.
| Request tier | Maximum funding | Best for |
|---|---|---|
| Standard | Up to $500 | Small meetings, printing, and basic supplies |
| Full event | Up to $1,500 | Larger gatherings, guest speakers, and venue rentals |
If your total costs exceed the tier limit, you must cover the difference. The Student Association does not cover 100% of event costs. You must also secure at least one additional sponsor or partner if the budget goes over $1,000.
Using the funds
Once approved, the Student Association will issue a cheque or direct deposit to your club's designated account. Keep all receipts and submit a spending report within fifteen business days after the event. Unspent funds must be returned to the Student Association. You cannot use club funds for personal items or alcohol.
