How we protect your information
This page explains how Wrenford Polytechnic keeps your personal information safe and who is allowed to see your academic file. It covers your right to view your own records, how we share information with outside parties, and who to contact if you have questions.
Who can access your academic file
Your academic file is private. Only college staff and faculty who need the information to support your education, process your enrollment, or carry out official college duties may view it. We do not share your information with anyone outside the college without your written permission, unless the law requires it.
We keep this information secure on our college servers and in locked filing rooms at the Registrar's Office in Hollis Hall.
How to view your own records
You have the right to see your academic file. To request access, you must submit a written request to the Registrar's Office. You can send an email to the registrar or drop a signed letter at the front desk in Hollis Hall. We will review your request and arrange a time for you to review your file in person. You may not remove records from the file, but you can take notes or request copies. We aim to process your request within 30 days.
Transcripts and official copies
You can order an official transcript through the Registrar's Office or via the myWrenford portal. A $25 administrative fee applies to each transcript. Transcripts issued directly to you will be marked "Issued to Student". If you owe money to the college, you still have the right to view your file, but we will not release an official transcript until your account is clear.
Releasing information to others
We will not give your grades, program details, or personal information to parents, employers, or other third parties without your signed consent. There are limited exceptions where we may share information without your permission, such as when required by a court order, or when sharing is necessary to protect your health or safety in an emergency. We also share routine information like your dates of attendance and program completion with provincial student financial assistance providers, as you authorized this when you applied.
Privacy law and complaints
Wrenford Polytechnic follows the province's privacy legislation. If you believe information in your file is inaccurate, you can ask for a correction. If you have a concern about how your privacy was handled, you can contact the Registrar or submit a formal complaint through our complaints page.
