Complaints and feedback

What this page covers

This page explains how you can share your thoughts about Wrenford Polytechnic. It covers channels for students to provide informal feedback or file complaints about services and staff. You can use these steps to raise a concern, ask for a review, or suggest an improvement.

Informal feedback

Most issues can be resolved quickly if you speak directly to the person or office involved. If you prefer not to do that, or if the issue is not resolved, you can leave feedback through the following channels:

  • Student Association suggestion box: Drop a note in the box located in the Student Union Building, or send an email to [email protected].
  • Online feedback form: Complete the short form on the myWrenford portal under the Student Services tab. You will receive a confirmation number within two business days.
  • Direct conversation: Visit or call the office responsible for the service. You can find contact details for every department on the Contact us page.

Informal feedback does not start a formal investigation. Staff will use your comments to improve daily operations and training.

Filing a formal complaint

Use a formal complaint if informal feedback did not resolve the issue, or if the concern involves serious misconduct, discrimination, or a breach of college policy. Formal complaints are reviewed by the Vice-President, Students or a designated officer.

Who can file

Any current student, including part-time and continuing education enrollees, may file a complaint. International students on a study permit are also eligible.

Steps to file

  1. Download the Complaint and Feedback Form from the Policies page or request a paper copy from the Student Services office.
  2. Write a clear description of the issue. Include dates, times, names of staff or students involved, and any supporting documents or emails.
  3. Submit the form by mail, in person, or by email to [email protected].

Deadlines and fees

You must submit a formal complaint within thirty days of the event you are reporting. There is no fee to file a complaint. Late submissions may still be accepted if you provide a written explanation for the delay.

What happens next

Staff will acknowledge your complaint within five business days and assign an investigator. You will receive a written update every two weeks during the review. The college aims to complete the investigation and issue a final decision within thirty calendar days. If the investigation finds that a policy was violated, the college will take corrective action. You will receive a written summary of the outcome. If you disagree with the decision, you may request a review under the Grievance procedure within ten business days of receiving the letter.

Confidentiality and protection

Your complaint will be handled confidentially. Only staff directly involved in the review will see your information. Wrenford Polytechnic prohibits retaliation against anyone who submits a good-faith complaint. If you experience any negative treatment after filing, contact Campus Security or Counselling & Wellness for support.
