Grievance submission form

About this form

This is the official grievance submission form for the Student Association. Use it to lodge a formal complaint about services, facilities, or staff under the Student Association's direct control. This includes issues with the food hall, Campus Store, athletics bookings, club funding processes, and student union building access.

This process does not cover academic grievances, which go through the Registrar, or general campus safety concerns, which go to Campus Security. If your issue falls outside the Student Association's scope, we will direct you to the right office.

Who can use it

Any current student with a valid myWrenford account can submit a grievance. You do not need to be a member of a registered club or hold a student association position. If you are a guest or visitor, please use the campus feedback form instead.

How to submit your grievance

Follow these steps to complete your submission:

  1. Log in to your myWrenford account.
  2. Navigate to the Student Association portal and select Grievance submission form from the services menu.
  3. Fill in your student number, program, and a clear description of the issue. Attach any supporting documents, such as receipts, emails, or photos.
  4. Review your entry to make sure all details are accurate, then submit the form.
  5. You will receive an automated confirmation email with a tracking number. Save this number for your records.

The Student Association office reviews all submissions within ten business days. You will receive an update on your case status by email. If the grievance requires an investigation, a staff member may contact you to request a brief meeting or additional information.

Fees and deadlines

There is no fee to submit a grievance. We encourage you to file your complaint as soon as the issue occurs. Submissions made more than sixty days after the event may be difficult to investigate and could be declined.

Privacy and data handling

Your personal information and the details of your complaint are handled according to provincial privacy law. The Student Association keeps your information secure and shares it only with staff who need it to resolve your case. We do not share your details with other student groups or external organisations without your written permission.
