Event space bookings

Book a room in the Student Union Building

The Student Union Building is the main hub for student life at Wrenford Polytechnic. If you run a student group, club, or program committee, you can book a room here for meetings, workshops, and social events. This page explains how to reserve a space, what it costs, and who to contact.

Who can make a booking

Registered student clubs, the Student Association executive, and program committees can book rooms in the SU Building. You must be a full-time or part-time student at Wrenford Polytechnic to submit a request. Faculty and staff may book spaces for student-facing activities with a student co-signature.

How to reserve your space

  1. Check the room schedule. Visit the Student Association page to view the weekly calendar and see which rooms are open.
  2. Submit a booking request. Fill out the online form on the Student Association page. List your event date, start and end times, expected number of attendees, and the room you prefer.
  3. Pay the deposit. Most student events require a refundable deposit to secure the date.
  4. Receive your confirmation. The Student Association office reviews your request within five business days. You will receive an email with your booking number and room access instructions.

Bookings for standard student meetings are processed quickly. For large events that need stage setup or extra seating, allow two weeks for approval.

Event fees and deposits

There is no booking fee for registered student groups using standard classrooms or meeting rooms in the SU Building. If you require the main event hall or the food hall for a large gathering, a room rental fee applies. The deposit is fully refundable if you leave the space clean and return all equipment.

Catering and equipment

The SU Building contains a food hall and the campus store. You can order snacks and drinks directly from the campus store for your event. If you need a full meal service, request catering through the food hall at least ten business days in advance. The food hall team will send you a menu and price list.

All rooms come with standard tables, chairs, and a whiteboard. If you need a projector, microphone, or video camera, list it on your booking form. The Student Association office will check availability and deliver the equipment to your room on the day of the event.

Rules and safety guidelines

All events must follow the Policies. Please review the guidelines before you submit your request. Key rules include:

  • No outside alcohol or tobacco products are allowed inside the building.
  • Food and drinks must stay in designated areas. Spill cleanup is your responsibility.
  • All guests must wear a valid student or staff ID at the entrance.
  • Maximum occupancy depends on the room size. The Student Association office will confirm the limit on your booking confirmation.
  • Events that run past 8:00 p.m. require a campus security escort to the transit loop or parking lot.
